Requesting Your Transcript from HCC

Below are the links to request your GED/HiSET transcripts.

Ordering Curriculum and Continuing Education Transcripts

There are two different types of HCC Student Transcripts:

  • Official copy – These are sent by mail (not fax) directly to another college, employer, prospective employer, etc.
  • Student copy – These may be sent by mail (not fax) to you for your records. They are printed on plain, white paper. A student copy can also be printed from your Self Service account if you are a current student.

Order and pay for your transcript online. Transcripts can be mailed or sent electronically.

If you do not order your transcript through our online service, you must submit your request in person or by mail. Your signature is required, so HCC is unable to accept requests for transcripts by phone or email. We do not accept faxed requests since the transcript fee must accompany the request.

These amounts must be paid to the cashier and a receipt presented to the Registrar’s Office before a transcript request will be processed. If mailing a request, you must submit the transcript fee along with your request. Your request will not be processed until the fee has been received

When requesting a transcript, please include:

  • Your Name
  • Last four digits of your SSN or your full HCC Student ID Number
  • Your phone number
  • Indicate if the transcript is from Curriculum or Workforce and Economic Development
  • Full address of where the transcript should be sent
  • Your signature and date (NOTE: If this letter is not signed and dated, it cannot be processed!)
  • Transcript Fee

Graduation Information

To receive the Associate in applied Science Degree, Associate in Arts Degree, Associate in Science Degree, Associate in General Education, Diploma or Certificate, a student must maintain satisfactory progress in all subjects and a cumulative grade point average of at least 2.00. Students must earn a minimum of 25 percent of credit hour requirements at Halifax Community College.

A student in continuous attendance (summer semester excepted) may graduate under the provisions of the catalog in effect on his/her date of entry or he/she has the option of meeting the requirements of a subsequent issue. A student who is not in continuous attendance must graduate under the provisions of the catalog in effect on his/her last re-entry date, or a subsequent issue. Students who request a change of their academic program will be subject to all requirements of the catalog in effect at the time that the program change is approved.

Application for Graduation

Halifax Community College holds one Commencement ceremony at the end of Spring semester. Students who complete requirements in December or the preceding summer are encouraged to participate in the May commencement exercises. Candidates for graduation must submit an Application for Graduation with the Registrar’s Office by March 15 of each year. All students are encouraged to submit an application for graduation to the Registrar’s Office during the semester in which they intend to complete all program requirements.

The Family Educational Rights and Privacy Act (FERPA) is a federal law that affords parents the right to have access to their children’s education records, the right to seek to have the records amended, and the right to have some control over the disclosure of personally identifiable information from the education records. When a student turns 18 years old, or enters a postsecondary institution at any age, the rights under FERPA transfer from the parents to the student (“eligible student”).

Educational agencies and institutions are required to notify parents and eligible students about their rights under FERPA. FERPA regulations sets forth the requirements for the notification. Schools do not have to individually notify parents and eligible students but do have to notify them by any means that are reasonably likely to inform the parents or eligible students of their rights.

Student Catalog

There are several exceptions to FERPA’s general prior consent rule that are set forth in the statute and the regulations. One exception is the disclosure of “directory information” if the school follows certain procedures.

FERPA defines “directory information” as information contained in the education records of a student that would not generally be considered harmful or an invasion of privacy if disclosed. Typically, “directory information” includes information such as name, address, telephone listing, date and place of birth, participation in officially recognized activities and sports, and dates of attendance.

The rights under FERPA transfer from the parents to the student, once the student turns 18 years old or enters a postsecondary institution at any age. However, although the rights under FERPA have now transferred to the student, a school may disclose information from an “eligible student’s” education records to the parents of the student, without the student’s consent, if the student is a dependent for tax purposes. Neither the age of the student nor the parent’s status as a custodial parent is relevant. If a student is claimed as a dependent by either parent for tax purposes, then either parent may have access under this provision.

If the student is a dependent for income tax purposes, the institution may disclose any education records, including financial records to a student’s parents. If the student is not a dependent, then the student must generally provide consent for the school to disclose the information to the parents.

If a student is attending a postsecondary institution – at any age – the rights under FERPA have transferred to the student. However, in a situation where a student is enrolled in both a high school and a postsecondary institution, the two schools may exchange information on that student. If the student is under 18, the parents still retain the rights under FERPA at the high school and may inspect and review any records sent by the postsecondary institution to the high school.

Yes, if the student is under the age of 21 at the time of the disclosure. FERPA was amended in 1998 to allow such disclosures. Also, if the student is a “dependent student” as defined in FERPA, the institution may disclosure such information, regardless of the age of the student.
